Notification Overview

PatientNotes can notify you about important events like completed transcriptions, team activity, and billing updates.

Stay Informed

Customize which notifications you receive and how you receive them to match your workflow.

Email Notifications

Receive important updates via email.

Email Alerts

Email notifications are sent to your account email address and can be customized by category.

Types of Email Notifications

  • Transcription Complete: When your recording has been transcribed
  • Note Generated: When an AI note is ready for review
  • Team Invitations: When you're invited to join a team
  • Billing Alerts: Payment receipts and subscription updates
  • Security Alerts: Login from new device or password changes

Configuring Email Notifications

  1. Go to Settings โ†’ Notifications
  2. Find the "Email" section
  3. Toggle each notification type on or off
  4. Save your changes
Digest Mode
Enable digest mode to receive a daily summary instead of individual emails for non-urgent notifications.

Push Notifications

Get real-time alerts on your mobile device.

Mobile Alerts

Push notifications require the PatientNotes mobile app and permission to send notifications.

Enabling Push Notifications

  1. Download the PatientNotes app from the App Store or Google Play
  2. Sign in to your account
  3. When prompted, allow notifications
  4. Customize which alerts you receive in Settings

Push Notification Types

  • Recording Status: When transcription is ready
  • Note Ready: When your AI note is complete
  • Team Activity: When team members share or comment
  • Reminders: Incomplete sessions or pending reviews

In-App Notifications

View notifications directly within PatientNotes.

Notification Center

Click the bell icon in the top navigation to view all recent notifications and activity.

Using the Notification Center

  • Click the bell icon to open notifications
  • Unread notifications are highlighted
  • Click a notification to take action
  • Mark all as read to clear the badge

Sound Alerts

Enable or disable sound notifications:

  1. Go to Settings โ†’ Notifications
  2. Find "Sound Alerts"
  3. Toggle sounds on or off

Managing Preferences

Fine-tune your notification settings for the perfect balance.

Quiet Hours

Set hours when you don't want to be disturbed. Notifications will be silenced but still visible in the notification center.

Frequency

Choose between immediate notifications, hourly digests, or daily summaries for non-urgent updates.

Critical Only

Enable this mode to only receive security alerts and critical account notifications.

Team Settings
Team administrators can set organization-wide notification policies. Your personal settings work within those boundaries.

Unsubscribing from Emails

You can unsubscribe from marketing and promotional emails at any time.

  1. Click "Unsubscribe" at the bottom of any email
  2. Or go to Settings โ†’ Notifications โ†’ Email Preferences
  3. Uncheck "Marketing & Updates"
Critical Emails
You cannot unsubscribe from security alerts, password reset emails, or billing notifications. These are required for account security.
